How to share notes on iPhone
There are four ways to get a note off your iPhone, and the right one depends on who you’re sending it to. Send a copy for a one-off, collaborate by iCloud link when everyone has an Apple ID, export a PDF when it needs to look fixed, and use a browser room when the other person is on Android or Windows.
Which method should you use?
- Sending to another iPhone, iPad or Mac user: use Collaborate if they should be able to edit, or Send Copy if they just need the text.
- Sending to someone on Android or Windows: use a browser room. Apple Notes collaboration won’t open for them.
- Sending something that must not change (a recipe, a receipt, a signed list): export a PDF.
- Moving a note to your own PC: same as Android or Windows above. Scan a QR, paste, done.
Method 1: Send a copy of a note
This is the quickest option when the other person only needs to read the note. They get a snapshot. If you edit the note later, their copy doesn’t change.
- Open the note in the Notes app. Tap it so it fills the screen.
- Tap the Share button. It’s the square with an arrow, top-right. On older iOS versions it sits behind the … (More) button.
- Switch to Send Copy. At the top of the share sheet there’s a toggle between Collaborate and Send Copy. Pick Send Copy.
- Choose how to send it. Messages, Mail, WhatsApp, AirDrop, or any app in the share sheet. The note arrives as plain text with any photos attached.
Method 2: Collaborate on a note with an iCloud link
Use this when two or more people need to keep editing the same note: a shopping list, a packing list, trip planning. Everyone sees changes live. It only works if the note is stored in iCloud and everyone invited is signed in to an Apple ID.
- Open the note and tap Share. Same button as above.
- Make sure Collaborate is selected. It’s the default on iOS 16 and later.
- Set the permissions. Tap the line under the note title to choose Only people you invite or Anyone with the link, and Can make changes or View only.
- Send the invite. Pick Messages, Mail, or Copy Link and paste it wherever you like. The recipient taps the link and the note opens in their Notes app.
To stop sharing later, open the note, tap the collaboration icon at the top (a circle with people in it), choose Manage Shared Note, then remove a person or tap Stop Sharing.
Method 3: Export a note as a PDF
A PDF keeps the formatting, headings, checklists and images exactly as they look on your screen. Good for anything that needs to be printed, filed or attached to an email.
- Open the note and tap the … (More) button in the top-right.
- Tap Send a Copy, then scroll the share sheet and tap Print.
- Pinch outward on the preview. The print preview turns into a full-screen PDF.
- Tap Share and save or send the PDF. Save to Files, attach to Mail, or send on WhatsApp.
On iOS 16 and later there’s also a direct Save to Files option in the share sheet that produces a PDF without the pinch trick.
Method 4: Share a note with Android or Windows (no Apple ID needed)
This is where Apple Notes falls short. Collaboration links open only for people signed in to iCloud, and “Send Copy” over Messages or Mail leaves the note sitting in someone’s inbox for good. For a quick hand-off to any device, a temporary browser room is simpler.
- Copy the note text on your iPhone. Open the note, tap and hold, choose Select All, then Copy.
- Create a room. Go to quicknoteshare.com in Safari and tap Create a room. You get a short URL and a QR code. No account.
- Paste the note into the room. Long-press the text area and tap Paste.
- Send the link or show the QR. The other person opens it in Chrome, Edge or any browser on Android, Windows, Mac or Linux. The note is already there, and anything either of you types updates on both sides in real time.
The room is unlisted, reachable only by its exact URL, and deletes itself after 6 hours. Tap Protect to add a password, or Read-only if the other side should view but not edit.
Common problems when sharing notes on iPhone
The Share button is greyed out or missing
The note is probably stored under On My iPhone instead of iCloud. Collaboration needs iCloud. Go to Settings › Apple ID › iCloud › Notes and turn Notes on, then move the note into your iCloud folder. You can still send a copy of an On My iPhone note.
The other person can’t open the link
Collaboration links only open for people signed in to an Apple ID with iCloud Notes enabled. If they’re on Android or Windows, use Method 4 instead.
The note is locked
Locked notes can’t be shared. Unlock it first (tap the note, enter your password or use Face ID), then share. You can lock it again afterwards.
Changes aren’t syncing
Both people need an internet connection and Notes enabled in iCloud. Pull down on the Notes list to force a refresh. If it still lags, check Settings › Apple ID › iCloud for a storage-full warning.
